Minutes of last meeting

Minutes of the November 20th 2025 meeting were approved unanimously

 

Matters arising 

  • Signage on Oxford Road: No news as yet, Landlords need to agree.  
 

Staffing

  • One GP is leaving in February.
  • Applicants have been received from GP’s
  • The Contact Centre is fully Staffed and the call wait time is 5.54 minutes.
  • Two new Healthcare Assistants have started and are being inducted/trained.
  • Advert is out for new Practice Nurse.
  • The time for Research Nurse applications has now closed.
  • There is one leaver from the Reception Team.
 

Compliment, complaints and feedback

  • There were 29 complaints in December and 11 have been received this month.
  • Friends and Family test – 96% - All good.
 

Constitution

To be held at the February meeting. Nominations to be put forward. 

 

Newsletter

All items have been submitted for publication.

 

Any other business

  1. AC re: website, some of information on Patient Participation Group is old. This old information will be update.
  2. The new Constitution to be added to website.
  3. Not having email address on website was questioned by AC. Plus ? uploading PDF on the contact form.
  4. Doctor’s salaries no information on the website.

Minutes of last meeting

Minutes of the January 15th 2026 meeting were approved unanimously

 

Matters arising 

  • Signage on Oxford Road: awaiting approval from landlord, have received quotes for an over the door sign.

Staffing

  • All new Doctors recruited have settled in and are impressive, one vacancy remains.
  • One GP is leaving.
  • Healthcare Assistants have been recruited and a Phlebotomist.
  • A new Nurse has been recruited for 30 hours a week and will start in April
 

Compliment, complaints and feedback

  • ​​​​​Phone performance average time to answer was 22 minutes in the past, last month it was 3 minutes 41 seconds, this month down to 2 minutes 30 seconds wait time.
  • Good management for booking online and more experienced staff have helped with phone wait time. Blinx system will be used for online bookings with a dedicated form for certain illnesses and routine appointments.
  • The National GP survey is now out collecting patient feedback. We have also re-run our internal survey that the PPG supported with the creation of last year. 59% Positive
  • Last month: 26 complaints. 27 on previous month.
  • There were 8 compliments.
  • The Family and Friends survey was 94.7% very good or good 
 

Newsletter

  • Has been printed and circulated.
  • The next newsletter will be published during Spring/Summer, anybody with anything to add please forward to AC. Maybe add PPG info and a spotlight on our meeting, plus add new members of Staff Doctors etc. Photo taken of PPG with permission to use in newsletter.
 

Contacting various people at the surgery

  • Contact email not to be added on website as per recommendation of website provider due to data security issues (risk of spam / phishing emails) and risk of inappropriate communication being sent e.g. urgent requests
  • Need to look at process regarding home visit by GP to housebound patient, the patient was asked to come to the Practice. KM and CP will review example given.
 

Election of chairperson

TC nominated by PC and seconded by JR. AA (Vice Chairperson) accepted nomination and TC voted in as chair. The post of Chair Person is for 1 year and 5 years for PPG members.

 

Any other business

  1. SA – Blinx system online request, if come to an earlier appointment then cancel later appointment this should update the appointment system if using the link, can take 24 hours to update.
